- parent, guardian, individual, child, school, and institutional experiences;
- Effect AI, including website chat and related managed-service features;
- account, checkout, subscription, customer-support, intake, and onboarding services; and
- other services that link to this Policy (collectively, the “Services”).
This Policy does not govern an independent third-party website, application, marketplace, or service that publishes its own privacy notice.
3. Our Roles
For information collected directly through our consumer-facing Services, The Cause and Effect App LLC generally acts as the business or controller responsible for determining why and how that information is processed.
When a school, institution, or Effect AI business customer provides or directs us to process information on its behalf, that customer may be the controller or responsible organization and we may act as its service provider or processor. In those circumstances, the customer’s privacy notice and written agreement with us may also apply. Requests concerning information controlled by that customer may be referred to the customer for handling.
4. Information We Collect
The information collected depends on the Service, account type, features used, device permissions, and choices made by the user or responsible adult.
4.1 Account and Contact Information
We may collect:
- name;
- email address;
- telephone number;
- physical or billing address;
- username, account identifier, and authentication information;
- parent, guardian, family, school, institution, or organization association; and
- communication and account preferences.
Passwords are processed through authentication systems and are not intended to be stored in readable form.
4.2 Parent, Child, Family, and Individual App Information
Depending on the features used, we may collect:
- profiles created by a parent, guardian, individual, school, or institution;
- assigned tasks, routines, habits, goals, rewards, points, wallet entries, streaks, progress, and report-card information;
- task status, approval or rejection, and completion history;
- reminders, notifications, stickers, messages, and related interactions;
- photos or videos uploaded as task-completion proof;
- content submitted to customer support; and
- settings and feature preferences.
A child-facing account must be created, connected, or authorized by a parent, legal guardian, school, or other legally authorized adult or institution, as applicable.
4.3 Location Information
With device permission, the Services may collect precise or approximate location information when a user enables or uses a location-dependent feature, such as a location-based task, reminder, or geofencing feature.
Location access may be disabled through the device settings. Disabling location may prevent location-dependent features from working, but it will not prevent use of unrelated features.
4.4 Device, Application, and Technical Information
We may automatically receive:
- device type, manufacturer, model, operating-system version, app version, language, and time zone;
- IP address and general network information;
- device or application identifiers;
- browser type and referring page;
- diagnostic events, crash reports, error logs, performance data, and security events;
- feature interactions and aggregated usage information; and
- cookie and similar-technology information on our website.
We do not collect a list of applications installed on a user’s device.
4.5 Website, Forms, Intake, and Support Information
When someone visits our website, completes a form, requests support, starts onboarding, or communicates with us, we may collect:
- the information entered into the relevant form;
- business name, website, industry, service needs, workflow requirements, and integration preferences;
- appointment or contact preferences;
- emails, support messages, and other correspondence;
- records of consent, requests, and our responses; and
- technical website information described above.
Please do not submit sensitive personal information that is not reasonably necessary for the request.
4.6 Effect AI Chatbot Information
Effect AI may process the message and any name, email address, telephone number, appointment request, or other information voluntarily entered into the chatbot so it can respond during the live interaction.
Effect AI may retain chatbot conversations on our WordPress website system for up to seven days, after which they are automatically deleted. Email and name capture are disabled; however, users may voluntarily include personal information in their messages. Messages are processed to generate responses and may be transmitted to our configured AI service provider, such as OpenAI. Chat content is not sold to third parties or used to build advertising profiles. Limited technical and security logs that do not ordinarily contain conversation content may be generated and retained separately to operate, protect, and diagnose the Service.
Users should not submit passwords, payment-card numbers, government identification numbers, protected health information, or other highly sensitive information through an Effect AI chatbot.
4.7 Transaction and Subscription Information
When a purchase is made, we may collect:
- product, plan, order, subscription, renewal, and cancellation information;
- billing name, billing address, transaction identifier, amount, date, currency, and payment status;
- invoices, receipts, refund requests, and charge-related correspondence; and
- limited payment-method information supplied by the payment processor, such as payment type or the last digits of a card.
Full payment-card credentials and PayPal login credentials are handled by the applicable payment processor and are not intended to be stored by us.
4.8 Information From Third Parties
We may receive information from:
- a parent, guardian, family-account administrator, school, or institution;
- an authorized business customer;
- authentication, hosting, analytics, crash-reporting, security, communication, and payment providers;
- Apple App Store, Google Play, PayPal, or another marketplace or payment processor; and
- integrations authorized by the customer.
5. How We Use Information
We use personal information to:
- create, authenticate, administer, and secure accounts;
- provide tasks, rewards, reminders, progress tracking, reports, and other requested features;
- connect authorized parent, child, family, school, and institutional experiences;
- process task-proof photos or videos for review by the authorized adult or institution;
- provide location-dependent features after permission is granted;
- operate Effect AI during a live interaction;
- process purchases, subscriptions, renewals, cancellations, refunds, and related notices;
- provide onboarding, implementation, maintenance, and customer support;
- send transactional and service communications;
- diagnose errors, analyze performance, maintain availability, and improve the Services;
- detect, investigate, and prevent fraud, abuse, unauthorized access, malware, and other security incidents;
- enforce our Terms and Conditions and other agreements;
- comply with law and respond to valid legal process; and
- establish, exercise, or defend legal claims.
We do not use children’s personal information for targeted advertising or behavioral profiling for advertising.
6. Legal Bases for Processing
Where applicable law requires a legal basis, we rely on one or more of the following:
- Contract: processing needed to provide the Services requested by the account holder or customer;
- Consent: for example, device permission for location, or verifiable parental consent where required;
- Legitimate interests: operating, securing, supporting, and improving the Services in a manner that does not override applicable privacy rights;
- Legal obligation: processing needed to comply with applicable law, tax, accounting, safety, or regulatory requirements; and
- Protection of rights and safety: processing needed to prevent harm, fraud, abuse, or security incidents.
Consent may be withdrawn where processing is based on consent, without affecting processing lawfully completed before withdrawal.
7. How We Disclose Information
We may disclose personal information only as reasonably necessary in the following circumstances.
7.1 Authorized Users
Information within a family, child, school, or institutional account may be visible to the parent, guardian, account administrator, teacher, or other authorized person responsible for that account. Task-proof photos and videos are made available only within the applicable authorized workflow.
7.2 Service Providers
We use service providers that support functions such as:
- cloud hosting and data storage;
- authentication and account security;
- website operation and content delivery;
- analytics, crash reporting, diagnostics, and performance monitoring;
- email, notifications, and customer communications;
- payment and subscription processing;
- malware, fraud, spam, and abuse prevention; and
- customer-authorized integrations.
These providers may process information only to perform services for us or as otherwise permitted by their agreements and applicable law. Examples of technologies used by our Services may include Google Firebase services, Google reCAPTCHA, Google website measurement tools, Apple and Google app-distribution services, PayPal, WordPress, WooCommerce, and hosting and security providers.
7.3 Business Customers
For Effect AI, school, or institutional Services, information may be disclosed to the relevant customer that controls or authorized the Service. The customer’s use of that information is governed by its own privacy obligations.
7.4 Legal, Safety, and Rights Protection
We may disclose information when we reasonably believe disclosure is necessary to:
- comply with applicable law, regulation, subpoena, court order, or valid legal process;
- protect the rights, property, security, or safety of users, the public, the Company, or the Services;
- investigate fraud, abuse, unauthorized access, or violations of our agreements; or
- establish, exercise, or defend legal claims.
7.5 Business Transfers
Information may be transferred as part of a merger, acquisition, financing, reorganization, sale of assets, bankruptcy, or similar transaction, subject to appropriate confidentiality and legal protections.
7.6 With Direction or Consent
We may disclose information when the user, parent, guardian, school, institution, or business customer directs or authorizes us to do so.
8. No Sale of Personal Information and No Advertising
We do not sell personal information for money or other valuable consideration. We do not display advertising in the Services, and we do not share personal information for cross-context behavioral advertising or targeted advertising.
We do not sell children’s personal information, use it for targeted advertising, or condition a child’s participation on providing more personal information than is reasonably necessary for the relevant activity.
9. Children’s Privacy
The Cause & Effect Child app and child-facing features are designed to operate under the direction and authorization of a parent, legal guardian, school, or other legally authorized adult or institution.
9.1 Notice and Consent
Before knowingly collecting personal information directly from a child where the Children’s Online Privacy Protection Act (“COPPA”) or similar law applies, we seek authorization and verifiable parental consent through the responsible adult or use another legally permitted process. A school may provide consent on behalf of a parent only when and to the extent permitted by applicable law and solely for an educational purpose.
9.2 Information Collected From Children
Depending on enabled features, a child account may provide or generate:
- name and account association;
- email address where necessary for the authorized account;
- assigned tasks, status, progress, streaks, rewards, and related activity;
- messages, stickers, or responses within the authorized experience;
- photos or videos uploaded as task-completion proof; and
- limited device, diagnostic, and security information.
We do not collect installed-app lists. We do not display advertisements to children. We do not use children’s information for targeted advertising.
9.3 Parental and Guardian Rights
A verified parent or legal guardian may:
- review the personal information collected from their child;
- request correction or deletion;
- withdraw consent to further collection;
- request that no further personal information be collected; and
- obtain information about the types of service providers that support the child-facing Service.
Requests may be sent to support@causeandeffectapp.com with the subject line “Child Privacy Request.” We may take reasonable steps to verify the requester’s identity and authority before disclosing or deleting information.
9.4 Data Minimization and Retention
We collect only information reasonably necessary for the child-facing feature and retain it only as described in Section 14. If parental consent is withdrawn or the child account is deleted, we delete or de-identify the child’s information unless limited retention is required by law, security, dispute resolution, or a valid school or institutional obligation.
9.5 School and Institutional Accounts
Schools and institutions are responsible for obtaining any authorization, notice, or consent required for information they direct us to process. Where applicable, we handle education records as a service provider under the school’s direction and do not use them for independent commercial purposes.
10. Photos, Videos, and Task Proof
Task-proof photos and videos are used to allow an authorized parent, guardian, teacher, or institutional administrator to review completion of an assigned task.
Users should avoid uploading:
- unrelated people who have not consented;
- government identification, financial information, or passwords;
- medical records or other highly sensitive information; or
- content that is unlawful, harmful, or unnecessary for the task.
The responsible adult or institution controls whether task-proof media is required and should choose the least intrusive method appropriate for the task. Users may request deletion of task-proof media, subject to verification and any limited lawful retention requirement.
11. Location Information and Permissions
We request location permission only when it is relevant to a location-dependent feature. The operating system will present the applicable permission control. Users can:
- decline location permission;
- choose approximate rather than precise location where supported;
- limit permission to while the app is in use where supported; or
- revoke permission later in device settings.
We do not use location information for advertising. We retain location information only as needed for the enabled feature, security, and the retention rules described below.
12. Cookies, Analytics, and Similar Technologies
Our website may use cookies, local storage, pixels, and similar technologies that are necessary to:
- keep the website and account functions working;
- maintain security and prevent abuse;
- remember preferences;
- understand website performance and usage; and
- diagnose errors.
Google reCAPTCHA or similar security technology may process device and interaction information to distinguish legitimate activity from spam or abuse. Analytics and diagnostic services may receive technical and usage information as described in this Policy.
Where required, we request consent before using non-essential cookies. Browser settings may be used to delete or block cookies, although doing so may affect website functionality.
Because no uniform legally binding standard for browser-based “Do Not Track” signals currently applies to all Services, our Services may not respond to every such signal. Where required by applicable law, we honor legally recognized opt-out preference signals for processing to which the signal applies. We do not sell personal information or use it for targeted advertising.
13. Automated and AI-Enabled Features
AI-generated content may be incomplete, inaccurate, or unsuitable for a particular purpose. Effect AI is intended to assist with communication and workflow tasks and should not be used as the sole basis for a legally significant, medical, financial, employment, educational, housing, insurance, or similarly high-impact decision.
Effect AI processes chatbot content during the interaction but does not retain the conversation or lead/contact information entered into the chatbot after the interaction ends. We do not use chatbot content for targeted advertising.
Effect AI is not configured as a HIPAA-compliant service by default. Users and customers must not submit protected health information unless we have expressly agreed in writing to an appropriate configuration and entered into any legally required agreement.
14. Data Retention
We retain personal information only for as long as reasonably necessary for the purposes described in this Policy, including to provide the Services, maintain security, comply with law, resolve disputes, and enforce agreements.
Retention considerations include:
- account information is ordinarily retained while the account remains active and for a limited period afterward to complete deletion, address disputes, prevent fraud, and satisfy legal obligations;
- tasks, rewards, progress, and task-proof media are retained while needed for the authorized account or until deleted by an authorized user, subject to limited backup and legal-retention periods;
- order, transaction, tax, refund, and subscription records may be retained for the period required by tax, accounting, payment, and legal rules;
- support and consent records may be retained as needed to document and resolve the request;
- diagnostic and security logs are retained for a limited period appropriate to security and operational needs;
- location information is retained only as needed for the enabled feature, security, or a user-authorized history; and
- Effect AI chatbot conversations may be retained on our WordPress website system for up to seven days, after which they are automatically deleted. Email and name capture are disabled, although users may voluntarily include personal information in messages.
When information is no longer required, we delete, de-identify, or securely isolate it. Information may remain for a limited time in encrypted or access-controlled backups before routine deletion.
15. Security
We use administrative, technical, and organizational safeguards designed to protect information, including access controls, authentication protections, encryption in transit, restricted administrative access, logging, monitoring, backups, and security tools appropriate to the nature of the Service.
No transmission or storage system can be guaranteed to be completely secure. Users should use unique passwords, protect their devices and credentials, and promptly report suspected unauthorized access to support@causeandeffectapp.com.
16. International Data Transfers
We are based in the United States and may use service providers that process information in the United States or other countries. Those countries may have privacy laws different from the user’s country.
Where required, we use legally recognized safeguards for international transfers, such as contractual protections, consent, adequacy decisions, or another lawful transfer mechanism.
17. Privacy Rights and Choices
Depending on location and applicable law, a user may have the right to:
- know or access personal information;
- correct inaccurate information;
- request deletion;
- obtain a portable copy;
- restrict or object to certain processing;
- withdraw consent;
- opt out of sale, sharing, or targeted advertising;
- appeal a denied privacy request; and
- complain to a privacy or data-protection authority.
We do not sell personal information or use it for targeted advertising. A user will not be discriminated against for exercising an applicable privacy right.
To submit a request, email support@causeandeffectapp.com with the subject line “Privacy Request” or write to the address in Section 22. Describe the request and the relevant account or Service. We may verify identity and authority before completing the request. An authorized agent may submit a request where permitted by law, subject to reasonable verification.
If we deny a request, the response will explain the reason and any available appeal method required by applicable law. Requests concerning data controlled by a school, institution, or Effect AI business customer may be referred to that organization.
18. Account, Permission, and Communication Controls
Users may:
- update certain account information through available account settings;
- control location, camera, photo-library, video, and notification permissions through device settings;
- cancel subscriptions as described in our Terms and Conditions;
- unsubscribe from promotional email using the link provided in the message; and
- request account or data deletion by contacting support.
Transactional, security, billing, or service messages may continue when reasonably necessary to provide the Service or complete a requested action.
19. Third-Party Services and Links
The Services may link to or integrate with third-party services. A third party’s collection and use of information is governed by its own privacy policy when it acts independently from us. Users should review those notices before providing information.
Purchases made through Apple, Google, PayPal, or another marketplace or payment provider may be processed under that provider’s privacy notice and terms.
20. Data Breach and Incident Response
We maintain processes intended to identify, investigate, contain, and remediate security incidents. If an incident involving personal information requires notice under applicable law, we will provide notice to affected individuals, customers, regulators, or other parties as required.
21. Changes to This Policy
We may update this Policy to reflect changes to the Services, technology, law, or our practices. The revised Policy will display a new “Last Updated” date.
If a change materially affects privacy rights or how personal information is used, we will provide additional notice or obtain consent when required by applicable law. Continued use after the effective date of an update constitutes acknowledgment of the revised Policy to the extent permitted by law.
